HR newsletter ideas

After the pandemic, kitchen coffees and lunch meetings have slowly been in decline. The world has shifted from mandatory on-site labor to remote working, which has made employee communication that much harder.

With mundane tasks, routine meetings, and occasional offline events, the gap between co-workers, HRs, and C-levels can easily expand. Considering all of that, employees may lose touch with the company culture, leading to demotivation and unproductivity.

That’s when an HR newsletter saves the day.

In this blog post, we’ll share 20 HR newsletter ideas that will entertain, engage, and motivate your co-workers.

What are HR newsletters and why are they important?

Human Resources or HR newsletters are emails sent to employees at regular intervals to boost employee engagement

Such emails are similar to company-wide announcements and include the latest industry news, company trends, recent employee wins, team spotlights, upcoming company events, pulse surveys, job postings, messages from the leadership team, etc. They are also commonly known as employee newsletters.

A few benefits of sending HR newsletters:

  • Improving internal communication. Email newsletters can offer valuable content and spark interesting conversations. This helps HR professionals boost engagement in the workspace.
  • Keeping employees well-informed. Monthly newsletters sharing company news, key updates, training opportunities, and upcoming team-building events can foster healthy connections and teamwork. Plus, they show employees that the company cares about their development, which makes them feel appreciated.
  • Boosting employee morale and loyalty. Employee newsletters are a great place to remind the staff about the company’s values. These can turn into quizzes, surveys, or games, creating a sense of community.
  • Promoting a positive work environment. HR newsletters can feature employee success stories, ask for feedback, recognize top performers, and celebrate promotions. They can also be used in conjunction with employee recognition software to additionally motivate your staff.

20 HR newsletter ideas you can experiment with (+ examples and templates)

A company’s newsletter can take various forms and shapes. Below, we’ll list 20 engaging employee newsletter ideas. You can use just some of them based on the occasion or mix things up and offer different types of newsletters each month.

1. Employee milestones or work anniversaries

Celebrating employee milestones like project completions or events like promotions, work anniversaries, and birthdays can spark conversations and make employees feel valued for their hard work. Using employee recognition software to track and celebrate these milestones can further organize the process, ensuring no one’s accomplishments are overlooked.

So, while planning employee newsletter topics, note down all these events and give your co-workers a shoutout. Don’t forget to include employee profiles to introduce them to other members of the team.

Pro tip: Ask colleagues you’re about to feature to share their experiences, thoughts, or proud moments to make the newsletter more personal and inspiring.

Here’s an employee newsletter template you could use:

For example, a behind-the-scenes picture, information about the speakers at the online or in-person event, and more.

Your newsletter to announce events can include:

  • Event dates and a response button (Yes/No) that adds the event to the employee’s calendar;
  • A link to RSVP or register, if applicable;
  • List of speakers and their backgrounds;
  • The agenda;
  • A behind-the-scenes picture;

5. Lists and recommendations

HR newsletters don’t have to be limited to work-life or company-related updates.

Make emails more interesting by compiling lists of top employee recommendations, such as movies, books, restaurants, TV series, talk shows, podcasts, etc. By doing so, you’ll leverage business communication that goes beyond the professional sphere.

This approach not only stimulates interaction but also makes employee newsletters more vibrant, dynamic, enjoyable, and exciting.

6. Employee-generated content

Give your employees a chance to speak up and share their opinions on things that matter to them. For example, an NGO initiative they worked on, a recent technology they upskilled to, the places they traveled to – the list is endless.

Image Source: CloudTalk’s internal newsletter

One thing to keep in mind: Ensure the employees are aware of company policies and guidelines before submitting their content ideas.

7. Contests

Another great work newsletter idea is the fun contests.

Employees may lose touch with their team members, especially if the communication is purely professional most of the time.

So you can set the ball rolling by sending out newsletters announcing engaging contests and games. You could also have winners and prizes for each event to encourage participation.

Here are some examples:

  • Photo contests for employees who are parents asking them to show what it’s like working from home with a child;
  • Home-office set-ups as storytimes or photo contests;
  • Holiday-related challenges;
  • Quizzes around trending topics;
  • Word or picture puzzles;

Your newsletter must include content guidelines, the last date for submissions, prize details, and GIFs or images to grab attention. This can also make for a good department newsletter idea!

8. Ask-Me-Anything (AMA) emails

The best way to address employees’ lingering questions? Invite an expert and host an AMA. This doesn’t always have to be work-related. The expert can also be someone from outside the company.

For example, you can have a cardiologist answer pressing health-related questions. Your employees would appreciate the gesture and participate actively.

Or you could invite a therapist who would talk about avoiding burnout and answer questions after the session.

Initially, you can send an email announcing the event, introducing the speaker, and inviting the co-workers to join. Post-completion, compile unique questions and answers into the upcoming newsletter.

9. Tips on stress and time management

Providing actionable tips on stress and time management, along with setting up an employee time clock system, will help your employees maintain a better work-life balance.

Subject line: Finding Balance: Tips on Time Management & Stress Reduction ☘️

Hello [Company Name] Team,

As the heartbeat of our organization, your well-being is our priority. In today's fast-paced world, managing time and stress efficiently is a skill every one of us can benefit from. In this edition of HR Insights, let's delve into actionable tips to find that balance.

Time Management Techniques

1. Prioritize with Purpose: Allocate tasks based on urgency and importance. The Eisenhower Box can be a handy tool to categorize your tasks.

2. Time Blocking: Segment your day into dedicated blocks for specific tasks. Remember to include short breaks to rejuvenate.

3. Limit Multitasking: While it might feel productive, studies suggest multitasking can reduce efficiency. Tackle one task at a time with full focus.

4. Set SMART Goals: Specific, Measurable, Achievable, Relevant, and Time-Bound goals can provide clarity and motivation.

5. Review & Reflect: End your week by reviewing accomplishments and areas of improvement. This reflection will help in better planning for the upcoming week.

Stress-Busting Strategies

1. The Power of Pause: Integrate short, mindful breaks throughout your day. A five-minute deep breathing session can work wonders.

2. Physical Movement: Regular exercise releases endorphins—our body's natural stress-relievers. Even a quick 10-minute walk can help.

3. Declutter: A tidy workspace can lead to a clear mind. Allocate a few minutes daily or weekly to organize your desk and digital files.

4. Connect: Talking to someone, whether it’s a colleague, friend, or family member, can offer a fresh perspective and reduce feelings of isolation.

5. Learn to Say 'No': While collaboration is key, overextending yourself can lead to burnout. Assess your bandwidth before taking on additional tasks.

Seeking balance is an ongoing journey. We encourage you to experiment with these strategies and discover what resonates with you. Here's to efficient days and peaceful nights!

Warm regards,

[Your Company's HR Team]

10. Workshops and training opportunities

Employees look forward to taking a small break from their daily tasks and upskilling themselves. So, start a newsletter encouraging your employees to take time off work and brush up on their skills or learn new stuff. Doing so shows you care about their professional development.

You can gather and send upcoming training/workshop opportunities, and other useful resources employees can register or refer to. Additionally, highlight relevant mentoring platforms that can provide guidance and support for these training opportunities.

15. Departmental or team-wise updates

Boost team spirits by talking about their recent accomplishments, like successful project deliveries, participating in marathons, etc. Share images to make the newsletter more engaging and compelling.

Likewise, when considering the structure of the newsletter, it’s beneficial to design a dedicated section that offers insights into various departments. By doing so, you create a platform to relay vital updates, internal shifts, ongoing projects, and more, thereby ensuring that employees remain well-informed and connected.

This deliberate approach to designing a newsletter fosters a sense of unity and shared purpose among the workforce while maintaining an informed and cohesive organizational environment.

Employee newsletter best practices

Here are some of the best practices we’ve found beneficial:

  • Find out what your employee’s preferred email frequency and favorite formats are. Ask them what they’d like to hear more of and what they aren’t interested in anymore.
  • Send targeted newsletters only when you have important information or updates to share. We should aim to create content that drives engagement. Repetitive or boring newsletters won’t help in that process.
  • Even though we have presented 20 HR newsletter ideas, that doesn’t mean you should use them all at once. Spamming and oversaturating employee newsletter content can be overwhelming and confusing. And we want to streamline things with our newsletters, not make them harder.
  • Brainstorm HR newsletter name ideas. This will keep your newsletters consistent and shape their identity. It will also make the internal employee newsletter a part of daily conversations in and outside the office.

Pro tip: Check out these newsletter examples to find even more inspiration.
